WHAT WILL YOU DO?
The ideal candidate should possess a strong planning background with excellent organizational, communication, and problem-solving skills. He/she will have a proven effectiveness in working with diverse participant groups, partnering with cross-departmental teams to complete detailed assignments in the successful planning and implementation of meetings and events for our clients. This position offers an opportunity to interact directly with clients as well as a wide variety of stakeholders while managing multiple projects simultaneously.
Who will be successful in this role? The individual will have expertise in managing programs in a live and virtual setting including the ability to multi-task, manage program deadlines and plans multiple meeting programs including but not limited to Speaker Training Meetings, Domestic and International Advisory Boards, Symposia, Conference Activities, Recruitment and Contracting.
Duties and Responsibilities
- Oversee management of overall project timeline and establish professional relationship with clients to gain a clear understanding of client needs and expectations;
- Ownership and accountability for the successful completion of the various meeting types and sizes assigned from beginning to end e.g. source, contract and negotiate hotels and vendors, manage (tracking/reporting) budget for each meeting, select food & beverage, arrange audio visual, communicate changes at each phase of the planning process;
- Coordinate transportation arrangements for all participants in the most cost-effective and efficient manner inclusive of air travel and between airports and venue;
- Liaise with clients (pharmaceuticals) and across internal departments to facilitate the creative direction and fulfillment of meetings-related to communication materials;
- Travel on-site approximately once a month on average and up to 3 times per month during peak periods and manage relationships with vendors, hotel staff, and other partners to ensure delivery to meet client requirements, as well as clients, HCPs and other agency partners;
- Ensure program compliance with company and client processes;
- Database management must keep an accurate account and update of project status throughout every stage of the lifecycle;
- Supply regular project status reports throughout every stage of the meeting lifecycle
- Develop on-line registration sites;
- Reconcile project including summarizing post-event evaluations, reporting, audits to ensure client’s billing invoice is 100% accurate;
- Ability to determine, understand, and manage country and HCP contracting requirements and execute contracts with accuracy
Key Competencies
- Knowledge and experience working with pharmaceuticals and understanding of pharmaceutical industry-related compliance and regulations preferred;
- Excellent interpersonal skills, with the ability to effectively communicate with and relate to all levels both internally and outside the company;
- Detail-oriented with keen follow-through and sense of urgency. Must exhibit a high degree of ownership and ability to meet deadlines;
- Ability to work well under pressure, stay positive and be a team-player;
- Strong meeting technology management for registration site builds and virtual meetings
- Strong pharma budget management

Qualifications:
- Minimum of 8-10 years' pharmaceutical meeting/program management experience;
- Minimum of 5 years' experience in dedicated client management, outside vendors, sourcing and negotiating contract services etc.;
- Prior operations experience in the hospitality/travel industry or equivalent a plus;
- This position requires domestic/international travel with some weekends once per month.
