Job Summary

Job Description for Purchase Operations Executive

The Purchase Operations Executive will be responsible for handling day-to-day procurement activities, ensuring smooth execution of purchase orders, vendor payments, and logistics coordination. This role involves managing purchase documents, tracking production timelines, reconciling vendor accounts, and maintaining procurement records to support efficient supply chain operations in EPC projects.

Key Responsibilities

  • Purchase Order Management
  • Create, process, and manage Purchase Orders (POs) in line with project requirements.
  • Coordinate with vendors for order confirmations and timely delivery.
  • Maintain accurate records of purchase transactions.
  • Vendor Invoice & Payment Processing
  • Handle Proforma Invoices (PI) and Tax Invoices for vendor payments.
  • Work closely with the finance team to process vendor payments on time.
  • Conduct monthly vendor ledger reconciliation to ensure financial accuracy.
  • Logistics & Dispatch Coordination
  • Obtain packaging lists from vendors and reconcile them with Purchase Orders.
  • Forward reconciled lists to the dispatch/logistics team for further coordination.
  • Track production timelines and ensure timely material dispatch.
  • Material Dispatch & Documentation
  • Manage MDCC (Material Dispatch Clearance Certificate) processing.
  • Handle test certificates and warranty documents required for EPC project materials.
  • Inventory & Warehouse Coordination
  • Manage Powerplay indents and ensure accurate record-keeping.
  • Verify GRNs (Goods Receipt Notes) against Purchase Orders to ensure correct delivery of quantity and specifications.
  • Process additional material requests, ensuring that warehouse stock is utilized before ordering from vendors.
  • Budget & Reporting
  • Maintain the Purchase Budget Sheet and update costs regularly.
  • Provide reports on purchase activities, material stock, and vendor performance.

Qualifications & Experience

  • Education: Bachelor's degree in supply chain management, Business Administration, Commerce, or a related field.
  • Experience: 2+ years of experience in procurement, purchase operations, or supply chain management, preferably in an EPC, Solar, or Construction industry.
  • Technical Skills: Proficiency in Tally, ERP/SAP systems, MS Excel, and procurement software.
  • Soft Skills: Strong analytical, coordination, and communication skills.

Preferred Skills

  • Knowledge of procurement processes in EPC projects.
  • Understanding of vendor management, invoice processing, and dispatch coordination.
  • Ability to multitask and work in a fast-paced environment.
