Job Description
About the Role
We are seeking a detail-oriented and hands-on Logistics & Shipping Specialist to manage domestic and international shipments, ensure accurate documentation, and support day-to-day production logistics. This role plays a critical part in ensuring timely delivery, regulatory compliance, and smooth coordination between production, suppliers, and customers worldwide.
Key Responsibilities
Shipping & Documentation
- Prepare and manage shipping documents, including Packing Lists, Commercial Invoices, Air Waybills (AWB)
- Ensure all documentation is accurate and compliant with international shipping requirements
- Maintain consistency between PO, build numbers, SKU, and shipment records
International Logistics & Customs
- Coordinate global shipments (U.S., EU, Asia, etc.) via carriers such as FedEx, DHL, UPS, and freight forwarders
- Work with customs brokers to support import/export clearance
- Ensure proper HS code classification, country of origin, and declared value
- Support compliance with export regulations (e.g., EAR, sanctions awareness)
Shipment Tracking & Coordination
- Track shipments and proactively resolve delays or exceptions
- Communicate shipment status with internal teams and external partners
- Coordinate with production to align shipment schedules with build readiness
Inventory & Warehouse Support
- Assist with incoming and outgoing material flow
- Verify received shipments against packing lists and POs
- Support inventory tracking and organization
Process Improvement
- Develop and standardize shipping templates and workflows
- Improve efficiency in packaging, labeling, and shipment preparation
- Identify cost-saving opportunities in freight and logistics operations
Qualifications
Required
- 2–5+ years of experience in logistics, shipping, or supply chain operations
- Hands-on experience with international shipping and documentation
- Familiarity with carriers (FedEx, DHL, UPS) and freight forwarders
- Understanding of customs processes, HS codes, and import/export documentation
- Strong attention to detail and organizational skills
Preferred
- Experience in medical device, electronics, or regulated industry
- Knowledge of export compliance (EAR, ECCN, sanctions)
- Experience working with ERP/MRP or quality systems (e.g., NetSuite, SAP, Qualio)
- Familiarity with Incoterms (DDP, DAP, EXW, etc.)
