Role Description

This is a full-time, on-site Front Office Executive role based in Navi Mumbai. The Front Office Executive will manage receptionist duties, greet and assist visitors, direct calls and inquiries, and ensure smooth operational flow of the front office. The role also involves maintaining records, coordinating with staff, and delivering exceptional customer service while upholding professional communication standards.


Key Responsibilities Front Desk Operations

  • Greet and welcome visitors, clients, vendors, and employees promptly and professionally.
  • Maintain a clean and presentable reception area at all times.
  • Manage visitor registrations, ID cards, and access passes through the visitor management system.
  • Handle incoming calls, route them to the appropriate departments, and take messages when needed.


Visitor & Security Coordination

  • Coordinate with security personnel for visitor movement and access control.
  • Ensure compliance with entry protocols and safety guidelines.
  • Monitor visitor logs and maintain accurate records.


Administrative Support

  • Manage incoming and outgoing mail, couriers, and packages.
  • Assist with scheduling meeting rooms and maintaining booking calendars.
  • Support with basic office tasks such as printing, scanning, filing, and documentation.
  • Assist with employee onboarding formalities such as issuing temporary passes.


Customer Service

  • Address general inquiries and provide accurate information related to the IT park and its facilities.
  • Handle complaints or requests and ensure proper follow-up.
  • Coordinate with facility teams (housekeeping, maintenance, security) to ensure smooth operations.


Coordination & Communication

  • Liaise with internal teams and external vendors for day-to-day front office operations.
  • Provide daily reports on visitor numbers, courier records, and front-desk activities.
  • Assist during events, audits, and VIP visits.


Skills & Competencies

  • Strong interpersonal skills and ability to interact professionally with team members and clients
  • Proficiency in managing receptionist duties, including visitor handling and appointment scheduling
  • Excellent communication skills, both verbal and written
  • Exceptional customer service skills to ensure client and visitor needs are met effectively
  • Professional appearance and positive attitude.
  • Strong organizational and multitasking abilities.
  • Basic computer skills (MS Office, email, visitor management system).
  • Ability to remain calm and handle pressure during peak hours.
  • Prior experience in a similar role or in a customer-facing position is an advantage
  • Freshers with hospitality/ Aviation industry can apply


Job Types: Full-time, Fresher


Pay: ₹20,000.00 - ₹25,000.00 per month
