This Executive Assistant position is central to this high-performance, growth-focused environment, requiring a dedicated partner to the CEO and CMO.
The Role
We’re hiring a full-time, on-site Executive Assistant to serve as the operational backbone for our CEO and CMO at our Tampa headquarters. This is a high-trust position at the center of a growing organization. You’ll support two executives with distinct responsibilities — from lease portfolio management and licensing compliance to influencer marketing and brand community management.
What You’ll Do
CEO Support (~64%):
- Manage executive calendar, scheduling, and meeting logistics
- Coordinate travel and site visit logistics
- Support lease management: LOI updates, new submissions, and status tracking
- Track renewals, permits, franchise compliance deadlines, and document filing
- Serve as document signing delegate and manage Expensify expense reporting
- Monitor open action items and keep the CEO’s critical path clear
CMO Support (~36%):
- Manage social media comments, DMs, and community engagement across all 7 brands
- Run influencer marketing full cycle: identification, outreach, campaign coordination, tracking
- Produce Marco’s sales, ad, and social analytics reports; update L10 scorecards
- Manage Marco’s coupon calendar, setup, and performance reconciliation
What You Bring
Required:
- Exceptional organization and proactive follow-through — you close the loop before being asked
- Strong written communication for executive-level support
- Ability to manage two executives simultaneously with full discretion
- Social media literacy across major platforms
- Comfort pulling, organizing, and summarizing data without hand-holding
Preferred:
- Franchise or multi-unit operations experience
- Familiarity with real estate or lease management platforms
- EOS/Traction framework knowledge
- Experience with Asana, Canva, Sprout Social, or similar tools
- AI tool fluency (Claude, ChatGPT, or automation workflows)
What Success Looks Like at 90 Days
- CEO’s calendar is clean, conflicts are rare, no action item falls through the cracks
- CMO receives organized, timely marketing data without having to chase it
- All 7 brand community channels feel actively managed and brand-safe
- Lease and licensing workflows never stall due to missing documents
- You’ve built trust with both executives and are operating with increasing autonomy
